The legal assistant on the resource team performs clerical and office functions for legal assistants while they are out of the office and assists with the overflow of work on a day-to-day basis. This position requires 5+ years experience, specifically in the areas of banking, commercial real estate, regulatory and intellectual property. The incumbent's responsibilities may include but are not limited to the following: Under guidance from human resources and other team members, the successful candidate’s responsibilities will include:
- Covering for legal assistants who are absent and ensuring continued workflow for professionals
- Transcribing legal documents from dictation device or handwritten notes using relevant software
- Proofreading transcribed documents to ensure accuracy
- Searching files and other sources for information as requested by professionals
- Placing and answering phone calls on behalf of professionals
- Opening and distributing daily mail for professionals
- Co-ordinating professional's daily schedule as required
- Performing other tasks such as filing, photocopying, emailing and faxing
- Preparing follow-up information for the Legal Assistant to ensure the continuation of work upon the legal assistant's return to work
- Legal Assistant Diploma from a recognized post-secondary institution
- 5+ years experience in a Legal Assistant role in the areas of banking, commercial real estate, regulatory and intellectual property
- Ability to learn quickly and readily absorb knowledge
- Strong organizational skills
- Excellent computer skills with knowledge of Microsoft Office Suite
- Outstanding customer service skills, including the ability to deal with clients in a professional manner
- A high level of skill in verbal and written communication
- Sound problem solving skills
- Ability to set priorities while dealing with conflicting situations
- Interpersonal skills required to work effectively with other staff and professionals
- Digital dictation experience
